The State of New Hampshire, Department of Transportation, Bureau of Human Resources has a full-time vacancy for an Administrative Assistant I.

SUMMARY:

To perform administrative duties for the Bureau of Human Resources in order to support efficient agency-wide functions. This position serves as the supervisor of the Administrative Section of the bureau.

MINIMUM QUALIFICATIONS:

Education: Associate's degree from an accredited institute of higher education with a major study in business administration, accounting, or public administration. Each additional year of approved formal education may be substituted for one year of required work experience.

Experience: Three years of experience in responsible office or business management activities. Each additional year of approved work experience may be substituted for one year of required formal education.

License/Certification : Applicant must possess a valid driver’s license and/or access to transportation for statewide travel. The applicant’s Motor Vehicle Record (MVR) must meet the minimum standards as established by the hiring agency.

RESPONSIBILITIES:

Serves as MATS Labor Manager I for the Bureau of Human Resources. Reviews and verifies timesheets and leave slips; applies electronic approval in MATS. Updates and maintains bureau leave records. Attends MATS Coordinator meeting as needed.

Monitors bureau inventory levels and expenditures, apprising the Administrator as necessary. Prepares all requisitions, payments and financial reports for all purchases and leases.

Issues passwords to employees for NH First access, as well as assists employees in password retrieval.

Provides administrative support to the bureau, including Workforce Planning and Development, Risk Management, Core HR, and the Bureau Administrator. Assists in the preparation of materials, policy research and analysis, and related programmatic activities. Compiles and reviews information and prepares reports for use of the staff. Prepares letters for the Administrator.

Trains and directly supervises subordinate reception staff, with responsibility for scheduling work, approving leave, reviewing work for accuracy, conducting performance appraisals, and interviewing applicants for position vacancies. Makes recommendations for work methods to facilitate the flow of work and solve related problems as necessary.

Maintains databases; compiles and retrieves a variety of data relevant to programs both within the bureau and agency-wide, including responsibility for the MTS (contract) database, Cybersecurity, and training record database. Prepares specialized reports for use by Administrators and administrative staff.

Independently reviews and replies to routine, as well as non-routine, inquiries clearly, effectively, accurately, and efficiently; clarifies and explains human resources related programs/procedures or directs correspondence to the proper bureau or agency. Serves as the wellness representative and safety coordinator for the bureau.

Maintains the Department’s personnel files as well as archived files. Maintains confidentiality of records and handles highly confidential and sensitive information.


Assists with special projects and assumes responsibility for the development, administration, and promotion of those projects as appropriate.
