WORK HOURS

Normal work schedule is 8 hours between the hours of 7 am and 5 pm with a 1-hour lunch break. Occasionally, during our busy season, additional hours may be required to meet our business needs.

ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following. Other duties may be assigned.

  • Responsible for efficient communication, harmonious interaction and support of co-workers and management team members.
  • Schedules work and generates work orders for the Field Operations Team in the computer system by using the computer dispatch scheduling. (Blue Cow)
  • Provide support, contact, and responds to install personnel to obtain or provide information and direction. Effectively dispatch scheduled and emergency jobs.
  • Review log notes daily. Proficient in the use of electronic devices.
  • Continually checks department voice loop, shared department email & Answering Service E-mail for follow-ups.
  • Research past work orders in BlueCow software and DocStar to resolve problems.
  • Checks daily for Dig Safe requests and schedules line locating as needed.
  • Reviews & schedules installation of special-order part immediately upon notification.
  • Works assigned Delivery Hold reports by contacting customers and other departments as needed to resolve pending issues to free up the account for deliveries and remove the delivery hold.
  • Responds to and contacts Field Operations and Sales personnel to obtain and/or provide information and directions for work to be completed.
  • Assist and back up other team members with scheduling installs, scheduling inspections, coordinating outside contractors, updating reports and customer accounts, permits, jurisdictional systems maintenance, etc.
  • Contact customers to schedule equipment and tank installations pursuant to completed new customer packets from Sales, or customer commitments for right-sizing storage from Delivery.
  • Effectively communicate and methods, process sequence, details, and expectations to customers (internal and external).
  • Appropriately and effectively manage job schedule (i.e., appropriately assign tasks, individuals, teams, vehicles, and allotted times).
  • Verifies site visits and appropriate preparations are made for all installations; coordinates site visits/preparations if/when necessary.
  • Coordinate excavation or UG tanks/gas lines (in-house, subcontracted) including DigSafe notifications.
  • Coordinate subcontractors associated with installation responsibilities (e.g., chimney, electrician, plumber, excavator).
  • Make outboard reminder calls, emails and/or texts for upcoming appointments; verify expectations and preparedness with customers.
  • Communicate with delivery schedulers through emails and log notes or phone for new tank installations, gas or equipment checks or for top offs as well as findings from drivers for service work.
  • Verifies and processes completed sales paperwork and confirms equipment order, delivery and installations dates and coordinates scheduling with outside contractors.
  • Responsible for coordinating administrative updates, trainings, vehicle maintenance/repairs, and staff meetings. Reviews the Service Schedule a week out & day before for travel issues with technicians and adjusts schedule as needed.
  • Responds to customer inquiries, complaints, issues, and/or questions regarding past/current/future installs. Communicates/escalates to manager as appropriate.
  • Identifies, catalogs, and communicates to manager: issues/difficulties with scheduling/completing installations (both interdepartmental and intradepartmental).
  • Catalogs and communicates to manager: callbacks/repairs to recent installations.
  • Assists in performing core tasks of other personnel within the department as needed in their absence.
  • Performs other tasks as assigned by Manager to provide general support to company operations.
  • Always maintains and promotes company brand guidelines and core values. Completes all other assigned duties.

SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.

SAFETY Working safely is a condition of employment. Employees shall verbally report and photograph all crashes/ injuries to their Manager immediately. If your Manager is not available, report the crash / injury to the Safety Manager or another Manager, or Human Resource Manager.

EDUCATION/EXPERIENCE Associate degree; or three to five years related experience/training.

LANGUAGE SKILLS Must speak fluent English. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

COMPUTER SKILLS Microsoft Office suite: Word, Outlook, PowerPoint, Excel. Must be able to run reports in all software programs we use. Ability to quickly learn our computer software. Use Google Drive and search the employee intranet.

MATHEMATICAL SKILLS Able to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

REASONING ABILITY Able to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Must be able to respond to emergencies quickly and efficiently.
