This position fulfills a variety of support responsibilities, as well as a wide range of customer service related functions to assist in the overall operations of the program. The Administrative Assistant (AA) supports the NHCRCSP Health Center Consultants (HCCs) and the Patient Navigator (PN), as well as other staff ensuring that action items are completed and recorded in Smartsheet after NHCRCSP partner meetings. The AA responsibilities also include performing general office activities, coordinating conferences, scheduling meetings or WebEx as directed by NHCRCSP staff, creating and sending email communication as needed, managing invoices and payments for partner patients’ colonoscopies. The PC will also maintain an adequate stock of supplies including small media such as brochures and forms, and other program resources, ensuring smooth program functioning.


  1. Plans and organizes team meetings weekly, sending the agenda prior to the meetings
  2. Managing invoices and payment of colonoscopies for partner clinics. Addresses and resolves patient billing issues, as appropriate.  Records intake of invoices and provides input into budget preparation related to colonoscopy, if applicable  
  3. Supports the patient navigator, including assistance with patient and provider communications and entering colonoscopy information into Redcap
  4. Performs administrative tasks including managing partner information obtained by the HCC and records into Smartsheet
  5. Creates agenda when needed for partner meetings and takes meeting minutes
  6. Creates public relations informational materials, such as infographic one pagers for partners
  7. Conducts literary searches and uses/provides information as appropriate
  8. Assumes responsibility for the coordination of on-going NHCRCSP projects as needed
  9. Coordinates conferences/meetings and makes arrangements
  10. Performs other duties as required or assigned

  • Associates degree in Secretarial Science or a related field with 1 year of experience, (one year of which is supporting a managerial position) or the equivalent combination of education and experience required.
  • Computer skills required.
  • Ability to work independently, assess priorities and organize workload.
  • Excellent communication skills required.
